The Office of People and Culture, in conjunction with the office of financial aid, strives to create a workplace and working community Âé¶¹¹ÙÍøÊ×Ò³Èë¿Ú which models for our students "strong truths, well lived." Our vision of student employment—both undergraduate and graduate—is to provide students with the opportunity to work on campus, working hand-in-hand with our faculty, staff, and administrators to fulfill Loyola's mission and their own potentials. The office of people and culture would like Loyola to be a place where students come not just to learn from their course work, but also for personal fulfillment and job experience.

The National Student Employment Association states:

Work helps prepare a student for modern office culture, and promotes constructive employer/employee relationships. Students express ingenuity and creativity as they are encouraged to make improvements in their job situation. Working students also develop good habits like consistency, dependability, cooperation, tact and poise, and learn responsibility through meeting work schedules and quality requirements.

While our creeds and beliefs sometimes differ, we are all collaborators in an important endeavor, striving together to realize the Ignatian vision of education Âé¶¹¹ÙÍøÊ×Ò³Èë¿Ú. Individually and collectively, we are called to serve others with care and concern for the whole person that is at the heart of Jesuit education. Undergraduate Employment

There are two kinds of hourly student worker positions. Federal Work Study (FWS) student workers have funds available within their Financial Aid package to support a work-study position. Departments are allotted a certain number of FWS that they can hire. Learn more about FWS here.  Non-Work Study positions are referred to as Direct Hire Student Workers. Direct hires are funded by the departmental budgets. All student positions are listed through the Handshake. Once the supervisor initiates the hiring process in Workday, new student employees will receive onboarding tasks through Workday. The onboarding process for new student employees includes completing an I-9, see resource below for a list of acceptable documents that must be presented in their original form.

What is the process for hiring a student employee?

Follow these steps to recruit and hire a student employee:

Step 1: Post the position in Handshake
All student employment positions must be posted in Handshake. Create and publish your job posting, ensuring it includes the required position details and is appropriately identified as either Federal Work-Study (FWS) or Direct Hire.

Step 2: Complete the recruitment process
Review applications, conduct interviews as needed, and identify the candidate you wish to hire.

Step 3: Hire the student in Workday
Once you have selected a candidate, complete the hiring process in Workday and monitor the student's onboarding progress. Students may not begin working until all required onboarding tasks, including Form I-9 completion, have been verified.

Can I see how many hours my student employee is working in another department?

To view all hours logged by a student employee, use the Enter Time for Worker report in Workday.

Please note: The Review Time report only displays hours worked under your supervision and does not include hours worked in other departments.

Can I see how much of a student's Federal Work-Study award has been used by another department? 

No. Award distribution details between departments are not shared.

Payroll and Student Employment can typically provide information regarding a student's total award amount, amount used, and remaining balance. However, departments should work directly with the student and coordinate schedules when a student holds multiple positions.

Departments are encouraged to communicate regarding work schedules and respect the student's commitments across all employment assignments.

Can students edit their time after it has been recorded?

No. Student employees cannot directly edit recorded time.

Students are responsible for accurately clocking in and clocking out for all hours worked. If a time correction is needed, supervisors have the ability to review and correct unmatched time segments.

All hours worked must be compensated. Time should never be reduced or removed without mutual agreement and documentation between the student employee and supervisor.

Are student employees allowed to work remotely? 

The expectation is that student employees work on-site. Student employee work is most effectively managed and supervised in a structured, on-campus environment. On-site work helps ensure accurate tracking of hours worked, appropriate supervision, compliance with wage and hour requirements, and a consistent employee experience.

 When can Federal Work-Study (FWS) students work? 

Federal Work-Study students may only work during the approved Federal Work-Study employment period for the applicable academic year.

For Academic Year 2026-2027, Federal Work-Study students may be employed between August 31, 2026, and May 11, 2027.

Students may not earn Federal Work-Study funds outside of the approved employment period.

Can students begin working once their record is visible in Workday?

No.

A student appearing in Workday does not mean they are authorized to begin work. Before a student may begin working, the direct supervisor must either:

Receive confirmation through Workday, or
Verify on the student's Workday Onboarding Business Process Status Summary page that the student's Form I-9 has been completed.
Students may not perform any job duties, attend training, or participate in any employment-related activities until I-9 completion has been confirmed through Workday.

Allowing a student to begin work before I-9 completion may create significant compliance risks for the University and may result in accountability for the hiring manager who authorized the work.

What should I do if I am experiencing performance concerns with a student employee?

If you are experiencing performance concerns with a student employee, contact your Office of People and Culture (OPC) Business Partner for guidance.

Your OPC Business Partner can provide support with addressing performance issues, coaching conversations, expectations, documentation, and appropriate next steps. Supervisors are encouraged to seek guidance early to help address concerns effectively and support student employee success.

Where should student employment positions be posted?

All student employment positions, including Federal Work-Study (FWS) and Direct Hire positions, must be posted in Handshake. Under most circumstances, this includes re-hires. 

What information should be included in a student employment job posting?

All student employment positions must be posted in Handshake and clearly identified as either Federal Work-Study (FWS) or Direct Hire so students can determine which positions they are eligible to apply for. Job postings should also include the following information:

  • Position title
  • Employment type (FWS or Direct Hire)
  • Hiring office/department
  • Pay rate
  • Position responsibilities
Can my department hire a Direct Hire student at the beginning of the semester?

  For the first two weeks of each semester, departments may only hire Federal Work-Study (FWS) students. After that period, departments may fill remaining positions with Direct Hire students if funding is available.
